This Privacy Policy explains what information OfficerCircle ("we," "us") collects when you use the Platform, how we use it, and the choices you have.
01Information We Collect
| Category | Examples |
|---|---|
| Account info | Name, email, phone number, password |
| Profile info (Guards) | License type and number, state of licensure, certifications and supporting documents, the About section you write, years of experience, military or law enforcement background, height, uniform size, shift preference, zip code |
| Profile info (Agencies) | Company name, contact name and phone number, business address and zip code, state security agency license number, logo, plan tier, payment method |
| Activity | Messages sent through the Platform, posts created and accepted, match requests and responses, hires logged, ratings, reviews, and the private notes agencies add to their own ratings, notification and text-message preferences, and the date and wording of your consent to receive texts |
| Mega events New · for legal review | Sign-ups, invites, hires, backups, day-before confirmations, no-show reports, event chat messages, edits and cancellations, and the AI assistant's settings and its log of what it did and why |
| Usage data | Pages visited, general device/browser information |
| Help chat New, Oct 14 · for legal review | The questions you ask in the Help chat and the conversation so far, while you're chatting. A question it can't answer is saved in our support inbox if you're signed in. |
| Banned accounts New, Oct 14 · for legal review | For an account we ban: its state license numbers and states, phone numbers, email addresses, and name with zip code (company name with zip code for an agency), kept on a private blocked list |
| On your device New, Oct 14 · for legal review | If you add OfficerCircle to your home screen, your phone keeps a few of our files (the page shown when there's no signal, and the app icons). The site also saves small settings on your device, such as the portal you used last and which one-time messages you've already seen. None of these files or settings hold your messages or profile. |
02How We Use Information
- To operate the Platform — showing profiles, enabling messaging, matching posts by distance and license type
- To process subscription payments — payment details are handled by a third-party payment processor; OfficerCircle does not directly store full card numbers
- To communicate with you — notifications about messages, post activity, and account updates
- To keep users safe and enforce our rules — OfficerCircle may review messages sent through the Platform to keep users safe, prevent fraud, investigate reports, provide support, and enforce our Terms, including with automated tools that flag possible problems. Staff access is limited to these purposes and every review is logged. We also review reported content and disputed reviews.
- New · for legal reviewTo run an agency's AI hiring assistant, if the agency turns it on — it uses guards' job-related information (license type and status, rating, reliability record, distance, and availability) to rank and hire guards for that agency's Mega event. It doesn't use characteristics protected by law. It logs every action and the reason for it, so the agency and OfficerCircle can review it, and a guard can ask for human review.
- To improve the Platform — understanding how features are used
- New, Oct 14 · for legal reviewTo stop banned accounts from coming back — we compare new accounts, and license numbers when they're added or changed, with the blocked list. A license number on the list blocks the account; a matching phone number, email address, or name and zip code is reviewed by our team. Only OfficerCircle's owners can see the list.
- New, Oct 14 · for legal reviewTo keep contact details out of profiles — the Platform won't save a profile with a phone number, email address, social media handle, or link in it, and we may use AI from a service provider to look for contact details written in a disguised way in a guard's About section. Anything it finds goes to our team, which decides what to do.
- New, Oct 14 · for legal reviewTo answer questions in the Help chat — we may use AI from a service provider to answer. We send it your question, the conversation so far, and whether you're a guard, an agency (and its plan), or a visitor; not your name, email address, or phone number. If it can't answer and you're signed in, your question goes to our support inbox as your message; if you're not signed in, we give you our email address instead.
- New, Oct 14 · for legal reviewTo send you service emails — about activity on your account (for example, being hired, shifts to confirm, backup spots, messages, match requests, new posts near you, and a weekly summary on Monday mornings), following your settings.
New · for legal reviewLicense photos and AI checks. If you choose to upload a photo of your security license, firearm permit, or a certificate, we use it only to confirm your details. We use automated tools, including AI from a service provider, to read it, compare it with what you entered, and look for signs the card isn't genuine. We also use AI to review the license and certificate details you type, and the name on your profile, for entries that look fake or impossible. The AI doesn't try to identify anyone from the photo on a card. Anything flagged is reviewed by OfficerCircle's team, and your account stays live while it waits. These checks can make mistakes, so agencies are told to confirm licenses on the official license lookup website of the state that issued them, or with the state directly where there isn't one. Your photo is stored privately: only you and OfficerCircle's admin team can view it. Agencies never see the photo; they see a short note on the review next to your license (for example, that the AI found the photo matches, that it's under review, or that our team reviewed it). You can ask us to delete it at any time.
New · for legal reviewLicense checks by agencies. When an agency looks up a guard's license with the state and marks it as checked on the Platform, we keep a record of which agency checked which guard's license, for which state, and when. Only that agency and OfficerCircle's team can see it; the guard and other agencies can't. The mark clears if the guard changes the license or a date on it passes, and we keep the earlier records so OfficerCircle's team can look into a report or dispute.
03What We Share, and With Whom
Profile information you provide (name, license type, certifications, ratings, reviews) is visible to other users of the network by design — that visibility is the core function of the Platform. If you're a guard, your license number, issuing state, and expiration date are shown only to agencies signed in to the Platform, so they can verify your license with the issuing state; they're never shown publicly. Phone numbers are shared only between people who are connected: a guard's number with an agency they've matched with or been hired by, and an agency's number with guards it has matched with or hired. A guard's email address, date of birth, and home street address are never shown to other users. Agencies can see whether a guard attached a document to a certification and can ask the guard for a copy. We don't share your information with training schools shown on the Platform; if you contact a school, you're sharing information with them directly. We do not sell your personal information to third parties.
New · for legal reviewMega events. An agency sees the name, rating, distance, and license details of guards who sign up for its Mega event, and the phone numbers of guards it hires. In an event chat, the agency sees who's in it. Guards see the agency's posts to the crew or to their day and their own private messages with the agency. They don't see other guards' phone numbers or email addresses.
We may share information with service providers who help us operate the Platform (such as hosting, email delivery, and payment processing providers), bound by obligations to protect it, and where required by law.
New, Oct 14 · for legal reviewAI service provider. The license and document checks, the profile check, and the Help chat send the information described above to an AI service provider so it can do that one task. The blocked list is never shared with other users or with agencies.
04Data Retention
We retain account and profile information for as long as your account is active. You may request deletion of your account and associated data at any time, subject to information we're required to retain for legal or safety reasons (for example, records related to a reported safety concern).
New · for legal reviewWe keep Mega event records, including sign-ups, hires, confirmations, no-show reports, event chats, and the AI assistant's log, for as long as the agency's account is active and as long as the law requires, so disputes, reports, and questions about hiring decisions can be reviewed.
New, Oct 14 · for legal reviewBanned accounts. We keep a banned account's entries on the blocked list for as long as the ban stands, with no automatic end date, even if the account itself is deleted, so the same person or company can't come back under a new account. OfficerCircle's owners can remove an entry, for example if it was added by mistake.
New, Oct 14 · for legal reviewHelp chat. We don't keep Help chat conversations. A question it couldn't answer for a signed-in user stays in that user's support conversation, like any other support message.
05Your Choices
- You can review and update your profile information at any time from your dashboard.
- You can request a copy of the personal information we hold about you.
- You can request deletion of your account.
- You can choose which alerts you get by email or text in Settings → Notifications. Billing and account-security emails are always sent.

- New, Oct 14 · for legal reviewEvery email about activity on your account has a one-click link to stop that kind of email. Emails about the account itself (billing, standing, and security) can't be turned off.
- New, Oct 14 · for legal reviewIf you added OfficerCircle to your home screen, removing it from your phone deletes the files it kept.
06Security
We use reasonable technical and organizational measures to protect your information. No system is completely secure, and we cannot guarantee absolute security of information transmitted to or stored on the Platform.
07Children's Privacy
The Platform is not directed to, and may not be used by, anyone under 18 years old. We do not knowingly collect information from children.
